ORGANISING AN EVENT: THE BENEFITS OF AN EXCLUSIVE VENUE

Last updated on: 26 April 2024

Organising your own birthday, the feast of degree, event corporate Located in a venue specialising in private events and not open to the public, it offers the advantage of confidentiality, allows you to create a personal and sometimes even intimate atmosphere, and to organise a truly bespoke event, all without compromising on professional and often state-of-the-art technical equipment (sound, lighting, etc.).
There is now a fairly wide range of venues available for events, particularly in the major cities.
That does not mean, however, that finding the one that’s really right for you is an easy task… Far from it.
Here are a few tips to help you get it right.

Size of the venue: is it always better to go for a larger one?
.

The size of the venue are crucial to the success of the event and the safety of your guests. You certainly wouldn’t want your guests crammed in like sardines or to see them jostling to get to the buffet. It’s true, however, that choosing a venue that’s much larger than the number of guests is a mistake – and not just for financial reasons. On the contrary. You might find yourself faced with two venues of very different sizes for the same price. You might be tempted to choose the larger one, but it’s worth bearing in mind that having your guests scattered around a huge hall isn’t a good idea either. Spaces that are too large will inevitably feel empty and cold, and certainly won’t help to engage your guests. A good idea is to opt for a venue with two areas or rooms that are more or less separate. We at METROLOFTEVENTI, we offer precisely this option: on the upper floor, a smaller room, ideal for parties of just a few people (10–15), which is cosy and fully equipped. This can provide a useful degree of flexibility: you can choose to use just one of the rooms, or plan to spend part of the event in one room before moving to the other; alternatively, you could dedicate one of the two spaces to entertainment (music and dancing) and the other to those who prefer to have a relaxed chat. This last option can be particularly useful for graduation parties or 18th birthday celebrations, where, in addition to the group of friends, relatives are often present as well.

Personality and personalisation: a viable combination

There’s no doubt about it: the venue you choose for your event must have its own “character”; it must speak to your guests; it must have a personality. When you see it for the first time, it will certainly have to catch your eye, evoke certain feelings in you, and you’ll choose it accordingly. However, it’s essential that you’re able to put your own stamp on it! In other words, whilst drawing on expert advice, you should be able – if you see fit – to personalise the venue, tailoring it to the specific needs of your event. This isn’t always possible, or at least not always easy.
If you’re planning to add your own personal touch to the venue, or if you want to set a theme for the event, then choose a venue that isn’t too specific in terms of style and décor – one that lends itself to being transformed and becoming something different when needed. Here at MTEROLOFTEVENTI, we can give you free rein to personalise the venue however you wish, and we can also bring 25 years’ experience in the events sector to the table.

Bear the context in mind: it’s the first impression that counts
.

The venue’s courtyard (entrance and terrace view)

Your event begins long before your guests step through the door. The approach, the foyer, the surrounding buildings, the overall view: all these elements help to give the event its style, create the right atmosphere and welcome your guests in the best possible way. The setting in which the venue is situated plays an active part in the success of your event. Before making your choice, therefore, take a moment to consider the impressions conveyed by the wider surroundings of the venue. Remember that these are very likely to be the same impressions your guests will experience upon arrival. In the photo opposite, you can see the courtyard of the venue, which leads into METROLOFTEVENTI. What do you think?

If you’ve got time, don’t wait around

It may seem obvious to have to reiterate this, but do start your search in good time (it depends very much on the time of year, the day of the week and the type of event) and, above all, start with the venue, before moving on to finalise other aspects such as catering, entertainment, etc. You’ll have the chance to explore various options and find the one that suits you best. First of all, it’s worth remembering that events – particularly birthdays – often take place at the weekend; so, even if you’ve found the right venue, it isn’t necessarily available. It’s easier to find available dates during the week, which in some cases can save you money.
The organisation of “Christmas” parties deserves a mention of its own: whether it’s for a corporate event (as is usually the case) or a get-together with friends, the Christmas period is incredibly busy. You need to start planning a few months in advance.
Here at METROLOFTEVENTI We’ll go out of our way to organise a site visit at short notice so we can secure the date for your event as soon as possible.
